Kelley Drye & Warren LLP, a powerhouse firm with the heart of a boutique, is seeking an onsite Facilities Coordinator in our New York office. This position will play a crucial role in maintaining our office premises and elevating the overall office experience. Responsibilities include but are not limited to point of contact for all facilities-related inquiries, including building maintenance requests, delivery schedules, and security management, coordinating daily catering requests and assisting with various special events, overseeing office moves and seating arrangements, and providing essential support services for the firm’s personnel, clients and guests. This role will report to the Director of Facilities. Hours: Monday- Friday, 9:30 AM – 5:30 PM, with the flexibility to work overtime during the week and weekends as needed.

What You’ll Do

  • Serve as a contact for the building management company and vendors, overseeing facilities issues such as building maintenance and housekeeping requests.
  • Liaison between all courier services and the Facilities Director.
  • Maintain the facilities databases, including the COI database, and verify all deliveries.
  • Process departmental invoices and maintain annual budget spreadsheets.
  • Assist with ordering office supplies, coordinating catering requests, and supporting the message center when needed.
  • Other duties as assigned.

Qualifications

  • A High School diploma or equivalent and a minimum of three (3) years of relevant experience in facilities, operations, maintenance, or building services is required.
  • Demonstrable proficiency with the Microsoft Office Suite; excellent written and verbal communication skills.
  • Some working knowledge of HVAC, electrical, and other building systems consistent with a commercial office building is preferred.
  • Must be able to lift up to 15 pounds and walk or stand for extended periods.

The salary range displayed is specifically for those potential hires who will work or reside in New York City if selected for the role. Any offered salary is determined based on internal equity, internal salary ranges, market data/ranges, applicant’s skills and prior relevant experience, certain degrees, and certifications (e.g., JD/technology) for example. New York City Salary Range: Low: $55,000 High: $70,000.
